My past trade show experiences have proven that a few practical steps make a huge difference. Here’s a small checklist to help you ensure your time in Orlando is productive and truly memorable.

1. Register Early 

Secure your badge as soon as possible. The registrations are already open on the official website.

2. Book Accommodations and Travel 

  • Stay Nearby: Reserve your hotel early, ideally near the Orange County Convention Center area. Being close to the venue means less commute and more networking opportunities. Check the Vision Expo official hotel block for special rates.  
  • Plan Your Transport: Book flights in advance for the best rates, and plan how you’ll get from Orlando International Airport (MCO) to your accommodation (rental car, rideshare, or airport shuttle).

OWA Champagne Breakfast – Wednesday, March 11, 2026 | 8:00 AM–9:30 AM

The Optical Women’s Association (OWA) Champagne Breakfast is a beloved tradition that celebrates women in the optical industry and as an OWA member, I’d strongly recommend it. The event combines inspiring speakers with plenty of time for conversation over breakfast and bubbly. It’s open to everyone (not just women) and is a great way to start your day with positive energy and meaningful networking.  

Vision Monday Leadership Summit – Wednesday, March 11, 2026 | 11:00 AM–5:00 PM

Later that same day, the Vision Monday Leadership Summit runs from 11:00 AM to 5:00 PM. This conference brings together senior leaders and innovators from across the optical industry to discuss major trends and the future of eyecare. If you can attend (it usually requires separate registration), it’s an excellent opportunity for high-level networking and strategic insights that go beyond what you’ll hear on the show floor.  

Prevent Blindness POV Dinner – Wednesday, March 11, 2026 | 6:00 PM–10:00 PM

In the evening, you can attend the Prevent Blindness Person of Vision Award gala at the Hyatt Regency Orlando. In 2026, the award will be presented to Jim McGrann, president and CEO of Advancing Eyecare and an Ocuco Board Member. All proceeds from the event support the programs of Prevent Blindness, making it both a prime networking opportunity with senior industry leaders and a chance to contribute to a cause that directly improves access to eyecare.

Opening Night Party – Thursday, March 12, 2026 | 8:00 PM–12:00 AM

This is the big social kick-off for Vision Expo, with music, drinks, and a lively crowd. It’s a fun, casual setting where your badge typically serves as your entry ticket, so you can move seamlessly from the show floor to an evening of informal networking without worrying about extra passes.

6. Pack the Essentials 

A successful expo experience often comes down to having the right gear and attire. Here’s your packing checklist:

  • Comfortable, Professional Attire: Aim for business-casual clothing and shoes you’re happy to wear all day. The OCCC is large and you’ll be on your feet for long stretches, so prioritise comfort as much as style. Opt for layers (a light jacket or cardigan) to move easily between the warm outdoors and the cooler air conditioning inside the convention centre.
  • Business Cards: Have your business details ready to share! You’ll be meeting dozens of people – speakers, exhibitors, peers – and you’ll want an easy way to exchange info. Bring a good supply of physical business cards and also have a digital version ready (for example, a vCard or LinkedIn profile QR code) so you can share your details quickly in whatever format people prefer.
  • Tech and Supplies: A fully charged smartphone (and a portable charger/power bank) is essential – your phone will likely double as your camera, notepad, navigation tool (with the show app), and maybe even your digital business card holder. Also pack a notepad and pen for jotting quick notes or ideas; sometimes pen and paper are faster in busy sessions. A sturdy tote or backpack is helpful for carrying brochures, samples, or any cool swag you pick up from exhibitors. And don’t forget basics like a reusable water bottle to stay hydrated, and some healthy snacks to keep your energy up during a packed day.

7. Set Goals 

To get meaningful value out of Vision Expo 2026, start by defining what you want to achieve. Setting two or three clear goals can help turn a busy few days into practical outcomes you can act on afterward.

  • Start with Purpose: Before you go, define what success looks like. Set two or three clear objectives such as identifying new vendors, earning CE credits, or connecting with peers in similar roles. Harvard Business Review recommends focusing on targeted outcomes rather than trying to do everything at once.
  • Map Out your Day: Review the Vision Expo 2026 agenda early and build your days around the sessions, receptions, and meet-ups that align with your priorities. Structured planning helps you get more from your time. If product discovery is a priority, make two passes through the exhibit floor: one for exploration and another for deeper follow-ups.
